YORK CATHOLIC DISTRICT SCHOOL BOARD Invites Applications For The Position Of Payroll Assistant Temporary 6 Month Contract (with the possibility of extension) Exempt Level 4 - $65,295 - $83,680 per annum Position Summary The York Catholic District School Board is seeking a detail-oriented and customer-focused Payroll Assistant to join the Payroll and Benefits Department. Reporting to the Payroll and Benefits Manager, the Payroll Assistant plays a key role in supporting payroll operations, maintaining payroll records, processing employment-related transactions, and providing timely support to employees, schools, and departments. Key Responsibilities Payroll Processing Support Review and process employee timesheets through the Board's time reporting system. Investigate payroll and time reporting discrepancies and liaise with employees, schools, and supervisors to resolve issues. Assist with payroll-related data entry and payroll administration activities. Support payroll processing deadlines and pay cycle activities. Records of Employment (ROE) Administration Prepare and issue Records of Employment (ROEs) for leaves, unpaid absences, terminations, and other employment events. Coordinate large-scale ROE processing during school breaks and seasonal workforce interruptions. Ensure ROEs are completed accurately and in compliance with Service Canada requirements. Employee and Stakeholder Support Respond to payroll inquiries received through telephone, email, and other communication channels. Liaise with Human Resources, Finance, schools, employees, and external agencies to support payroll operations and issue resolution. Payroll Compliance, Reconciliation and Reporting Respond to requests and inquiries from Service Canada, the Canada Revenue Agency (CRA), and other authorized agencies. Prepare payroll-related reports, documentation, and correspondence. Perform payroll audits, reconciliations, and validation activities to support the accuracy of employee earnings, deductions, and absence-related transactions. Support payroll recovery, adjustment, and reconciliation processes in accordance with Board procedures. Leave and Benefit Top-Up Administration Assist in the administration and calculation of eligible leave-related benefit top-up payments, including maternity, parental, critical illness, family medical, and compassionate care leaves. Maintain supporting documentation and ensure compliance with applicable legislation and Board practices. Confidential Records Management Handle highly confidential employee information, including payroll records, earnings information, Social Insurance Numbers, and personal data. Ensure compliance with Board privacy, confidentiality, and record retention requirements. Qualifications Education Diploma in Payroll, Accounting, Finance, Business Administration, or a related field. Payroll Compliance Practitioner (PCP) designation from the National Payroll Institute is considered an asset. Experience Approximately 2 to 4 years of progressively responsible payroll, accounting, or related administrative experience. Experience processing payroll transactions, employment-related records, and confidential employee information. Experience within a school board, public sector, unionized, or broader public service environment is considered an asset. Experience working with SAP HCM Payroll or other enterprise payroll systems is considered an asset. Familiarity with OMERS and Ontario Teachers’ Pension Plan (OTPP) administration and reporting processes is considered an asset. Knowledge And Skills Knowledge of payroll principles, Employment Standards Act (ESA) requirements, Canada Revenue Agency (CRA) regulations, and Service Canada reporting requirements. Strong analytical and problem-solving skills with the ability to investigate and resolve payroll-related issues. Ability to prioritize competing demands and meet strict deadlines in a high-volume environment.
