Job Type: Full-Time, 18-Month Contract with Potential for Permanent Employment Salary: $60,000–$70,000 per year, depending on experience Work Setup: Primarily in-office to start, with some hybrid flexibility once you're trained and comfortable in the role About Us Thompson Miller Specialty Rigging Corp. is a small and growing specialty rigging contractor based in Brampton. We work on everything from machinery moves and rooftop equipment installations to crane and rigging projects, switchgear moves, steel erection and other specialized lifting work throughout Ontario. We're a relatively small team, which means everyone plays an important part in keeping the company moving. We don't have layers of departments or a highly corporate office environment. You'll work directly with our General Manager and President, as well as the rest of the office and field team. We're looking for someone to take ownership of the accounting and administrative side of the business and help keep everything organized, accurate and moving on time. What You'll Be Doing This isn't a role where you'll spend your entire day doing one repetitive task. You'll be involved in most of the day-to-day administrative and bookkeeping functions of the company. A big part of your role will be keeping our finances and records current. You'll prepare and send customer invoices, handle progress billing, keep an eye on outstanding receivables and follow up with customers until invoices are paid. You'll also make sure payments are properly applied and recorded in QuickBooks. On the payable side, you'll receive supplier and subcontractor invoices, review and enter them into QuickBooks, code them to the correct jobs or accounts, and prepare payments through our banking system. Management will review and approve payments before they're released. You'll also help keep QuickBooks accurate and up to date, maintain supporting documentation, assist with reconciliations and make sure we're not trying to catch up on weeks of bookkeeping at the end of the month. Payroll is another important part of the position. You'll review employee time entries, follow up on anything missing or incorrect, prepare payroll information for management review and help process payroll. You'll also set up new employees and make sure employee files and onboarding documentation are properly maintained. On the project side, you'll create job folders, keep project records organized, review incoming contracts and purchase orders, enter job information into our systems and help make sure the administrative side of each project stays current. You'll also prepare purchase orders when needed and help management put together or send customer documentation. You'll be responsible for keeping subcontractor and company compliance records organized as well, including WSIB clearances, Certificates of Insurance, expiry dates and other documentation customers may request. There are also the normal things that come with helping run a small office: customer and vendor setup forms, credit applications, insurance requests, mail and couriers, office supplies, filing, vehicle paperwork, banking deposits and helping out with whatever comes up during the week. In short, we're looking for someone who likes being the person who knows where things are, what still needs to be done and what's coming due next. Who We're Looking For We're more interested in finding the right person than checking every possible box. You should be organized, reliable and comfortable working independently. Attention to detail is very important in this role because you'll be dealing with customer invoices, payments, payroll, vendor bills and project information where small errors can turn into bigger problems later. Ideally, you'll have previous experience in bookkeeping, accounting administration, office management or a similar position. Experience with the following would be especially helpful: Accounts payable and accounts receivable Customer invoicing and collections QuickBooks Online Payroll administration and employee timekeeping Microsoft Outlook, Excel, Word and Microsoft 365 Maintaining employee and project files Purchase orders and job costing Construction or project-based accounting Construction experience would definitely be an asset, particularly if you've dealt with things like WSIB, Certificates of Insurance, subcontractors, project billing and purchase orders, but it isn't mandatory. We're happy to teach someone the construction-specific side of the role if they already have a solid accounting and administrative foundation. Accounting or business education is also an asset. A CPA designation, CPA candidacy or a stronger formal accounting background would be great to have, but it isn't a requirement. More than anything, we're looking for someone who can learn how we operate, stay on top of their responsibilities and eventually run their part of the business without needing someone looking over their shoulder all day. What We Offer The salary range for the position is $60,000–$70,000 per year, depending on your experience and background.
