To learn more about working at LTS, visit: https://longtermtec.com/cart/careers/ Position Summary: The Business Operations & Accounting Assistant provides administrative and operational support across all areas of Longterm Technology Services, helping ensure the efficient day-to-day operation of the business. This role serves as a central support resource for Finance, Human Resources, Operations, Sales, Customer Success, and Leadership teams. While administrative support is the primary focus of the position, the successful candidate will possess strong accounting knowledge and bookkeeping experience and will assist with routine financial administration activities including invoice processing, billing support, expense administration, payment tracking, and record maintenance. The role is ideal for an organized and detail-oriented professional with broad business administration experience and a solid accounting foundation. This position offers exposure to multiple areas of the business while providing opportunities for career growth into more specialized operational or accounting roles based on business needs and employee development. Key Responsibilities: Business Operations & Office Administration · Serve as the first point of contact for general administrative and operational requests. · Manage incoming calls, emails, mail, and business correspondence. · Coordinate meetings, calendars, travel arrangements, and company events. · Prepare business documents, reports, presentations, and operational correspondence. · Maintain electronic and physical records ensuring organization, confidentiality, and accuracy. · Support onboarding activities and general administrative processes across departments. · Assist with tracking operational metrics, business documentation, contracts, and compliance records. · Order office supplies and support the management of vendors and service providers. · Provide administrative support to Finance, Human Resources, Operations, Sales, and Leadership teams. · Support special projects, process documentation, and continuous improvement initiatives. · Perform general office administration duties as required. Accounting & Bookkeeping Support · Process vendor invoices and prepare supporting documentation for approval. · Enter financial transactions and maintain accurate bookkeeping records. · Assist with accounts payable and accounts receivable administration. · Support customer invoicing, subscription billing, and payment tracking activities. · Assist with expense report collection, validation, and processing. · Maintain organized accounting records and supporting documentation. · Support collection of information required for month-end activities completed by the accounting team. · Assist with data entry and reporting within accounting, ERP, CRM, and business systems. · Monitor billing schedules, contract renewals, and recurring service records. · Escalate discrepancies or accounting issues to the Finance team for review and resolution. Qualifications and Skills Required · Diploma or certificate in Business Administration, Office Administration, Accounting, Bookkeeping, or a related field. · 2+ years of office administration, business support, bookkeeping, or accounting assistant experience. · Practical bookkeeping knowledge including invoices, accounts payable, accounts receivable, expense processing, and financial record maintenance. · Strong Microsoft Office skills with advanced proficiency in Excel. · Excellent organizational and time management skills. · Strong attention to detail and data accuracy. · Professional communication and customer service skills. · Ability to prioritize work across multiple departments and competing deadlines. · Ability to handle confidential and sensitive information. Preferred · Experience using QuickBooks Online, Xero, Sage, or similar accounting software. · Experience supporting both office administration and accounting functions. · Experience in a professional services, consulting, or technology environment. · Familiarity with CRM, ERP, and document management systems. · Understanding of HST, customer billing cycles, and Canadian bookkeeping practices.
