As part of our commitment to excellence, we are seeking a dynamic and experienced professional to join our team as the Payroll Administrator. *Job Description* *Position Summary* Reporting to the Director of Finance, the Payroll Administrator is responsible for the accurate and timely administration of payroll, related reporting, benefits administration, scheduling duties and selected human resources functions for all staff. This role ensures compliance with legislative requirements, collective agreements, and internal policies, while providing excellent support to management and employees. *Key Responsibilities* *Payroll Administration* · *Bi-Weekly Payroll Cycle* o Process payroll bi-weekly after reviewing for errors and compliance issues. o Post payroll summaries and journal entries to QuickBooks Online. o Complete month-end payroll accruals and expense postings. o Double-check daily timekeeping records for all departments. · *Monthly & Quarterly Payroll Reporting* o Prepare monthly and quarterly payroll reports, including accruals, seniority, union dues, pension, WSIB, benefits, and garnishment reports. o Update the worked and paid hours worksheets. · *Ongoing Payroll-Related Duties* o Track staff hours, eligibility, pay rate changes, and retroactive pay o Maintain employee records, including banking, address, and contact information. o Prepare monthly staff schedules and maintain permanent position templates in Staff Schedule Care. o Process clothing allowances, education pay, seniority updates, and other payroll adjustments. o Administer LTD, maternity top-up, preceptor pay, bonuses, and other special pay codes. o Process Records of Employment (ROEs) and benefits terminations. o Communicate job postings, payroll updates, and work-related announcements to staff. *Year-End Payroll Duties* * Finalize the upcoming year?s payroll schedule. * Review taxable benefits and year-end payroll reports. * Prepare and distribute T4 slips. · Maintain year-end payroll records for audit purposes. *Human Resources Support* * Post job advertisements, screen resumes, and refer qualified candidates to managers. * Process new hires, including employee IDs, offer letters, payroll setup, and onboarding. * Maintain employee files, HR checklists, and work permit documentation. * Monitor and update documentation for staff on work permits. *Other Responsibilities* * Support the Health and Supportive Care Providers Oversight Authority (HSCPOA) registration process, including skills confirmation forms. * Maintain and update the HR Module in PayWorks and Staff Schedule Care, building a complete online HR database. * Perform other duties as assigned by the Director of Finance, Executive Director or Department Managers. * Provide backup support for accounts payable duties. *Qualifications* * Diploma or certificate in Payroll Administration, Accounting, or Human Resources, or related field, or equivalent work experience. * Minimum two years of payroll experience, preferably in a unionized environment. * Strong knowledge of payroll legislation, benefits administration, and collective agreement requirements. * Proficiency in payroll systems, preferably *Payworks* * Working knowledge of *StaffScheduleCare* is preferred * Experience working with *Quickbooks Online* is considered an asset * Proficiency in Microsoft Office Suite required. * Excellent attention to detail, accuracy, and organizational skills. * Strong communication and interpersonal skills with a customer service focus. * Ability to maintain confidentiality and work under tight deadlines. * Willingness to work overtime as required Pay: $44,850.00-$50
