The Accounts Payable Specialist is responsible for the timely and accurate processing of accounts payable transactions, ensuring all vendor invoices, employee expenses, and payment activities are completed in accordance with organizational policies and accounting standards. This role supports the day-to-day operation of the accounts payable function through invoice management, payment processing, account reconciliations, vendor administration, and record retention. Working closely with internal stakeholders, vendors, and the Finance & Operations team, the Specialist provides exceptional service by resolving payment inquiries, maintaining accurate financial records, supporting month-end activities, and assisting with audit requirements. The role requires strong attention to detail, organizational skills, and a commitment to maintaining financial accuracy, compliance, and process efficiency within a fast-paced, collaborative environment. The responsibilities Process and manage vendor invoices, ensuring timely and accurate payment processing. Maintain accounts payable records and documentation to support compliance and audit requirements. Respond to inquiries from employees, internal stakeholders, and vendors regarding invoices, payments, and account status. Review invoices, expense claims, and payment requests for proper coding, approvals, and tax treatment. Reconcile accounts payable subledgers, corporate credit cards, and bank accounts, resolving discrepancies as needed. Coordinate cheque and EFT payments, including payment file preparation and vendor setup/maintenance. Support month-end close activities, journal entries, and financial reconciliations. Assist with annual audits by providing invoice documentation and supporting financial records. Provide guidance and training employees on accounts payable processes and procedures. Identify and resolve payment, system, or process issues while contributing to continuous improvement initiatives. The qualifications Minimum of 3 years Accounts Payable experience in a similar environment. Min diploma in Business Admin or relevant program Experience working with A/P software and accounting ERP system Strong attention to detail and highly organized. Superior multi-tasking and prioritizing capability. Effective time management skills to meet tight deadlines. Excellent interpersonal, client-centered mindset, written and verbal communication skills. Collaborative and empathetic team player Accounting/Finance knowledge/experience an asset.
