Team members contribute to technology that supports the transition to cleaner energy systems and data-driven decision-making in the solar sector. Role Description Enurgen is looking for an organized, detail-oriented Administrative Support & Bookkeeping Coordinator to manage day-to-day bookkeeping and financial administration while also supporting general HR and office administration. This role is central to keeping our financial records accurate and our office running smoothly, and is well-suited to someone who is comfortable working independently, enjoys variety, and takes ownership of accuracy and follow-through. The role works closely with leadership and project teams to ensure efficient operations and timely administrative and financial support. This is a hybrid position requiring three (3) days per week in the Enurgen office, with remaining days available for remote work. Key Responsibilities Maintain accurate day-to-day bookkeeping records in QuickBooks Online (QBO). Process accounts payable (AP): enter and code vendor bills, schedule and process payments, and maintain vendor records. Process accounts receivable (AR): generate and send customer invoices, track outstanding balances, and follow up on collections. Perform bank and credit card reconciliations on a regular (monthly or more frequent) basis. Process payroll accurately and on schedule, including remittances and required filings, in coordination with management and/or an external payroll provider. Reconcile general ledger accounts and assist with month-end and year-end close processes. Prepare financial reports and summaries for management as requested. Support preparation of documentation for the external accountant/auditor at year-end and tax time. Track and reconcile expense reports and petty cash, where applicable. Ensure compliance with relevant tax filing deadlines (e.g., HST/GST, payroll remittances) in coordination with the company's accountant. Support onboarding and off-boarding of employees, including preparing new-hire paperwork and maintaining personnel files. Maintain accurate employee records, including vacation, sick time, and other leave tracking. Assist with benefits administration and act as a point of contact for basic employee HR questions. Help maintain and update HR policies, procedures, and documentation. Provide general administrative support: managing correspondence, scheduling meetings, ordering office supplies, and maintaining office organization. Support document management and record-keeping, both physical and digital. Assist with special projects and other administrative duties as assigned. Qualification & Requirements 2+ years of bookkeeping experience, including payroll, bank reconciliations, AR, and AP. Hands-on proficiency with QuickBooks Online (QBO) is required. Working knowledge of general HR administration and best practices is an asset. Strong organizational skills and high attention to detail and accuracy. Discretion and sound judgment when handling confidential financial and employee information. Comfortable working both independently and collaboratively in a small-office environment. Strong communication skills, both written and verbal. Proficiency with Microsoft Office / Google Workspace. Post-secondary education or certification in accounting, bookkeeping, business administration, or a related field is an asset (e.g., certified bookkeeper designation).
